About the Role
International Connector is looking for a proactive, highly organized Program Coordinator to support the implementation of our university and student engagement programs.
Working closely with our Program Manager and global team, you will help coordinate two major initiatives working with university students across LATAM and North America. These programs connect university students, faculty, and industry partners through learning opportunities, campus engagement, leadership development, and career-readiness experiences.
This is a hands-on coordination role for someone who enjoys keeping people, information, and activities moving. You will help manage program timelines, communicate with students and university stakeholders, organize events and resources, maintain accurate program records, and follow up on the many details required to deliver high-quality programs across multiple universities and countries.
We are looking for someone who does not wait to be told every next step. You should be comfortable identifying what needs attention, following up with people, solving day-to-day challenges, and helping the team stay organized.
What You’ll Be Doing
Program Coordination and Implementation
Support the Program Manager with the day-to-day implementation of university and student programs.
Help turn program plans into clear tasks, timelines, and deliverables.
Track deadlines, activities, participation, and outstanding action items across multiple program workstreams.
Coordinate program materials, resources, communications, forms, and participant information.
Help ensure that program activities are completed accurately and on schedule.
Identify missing information, potential delays, or implementation challenges and proactively flag them to the team.
Follow up with internal team members and external participants to keep projects moving.
Student and Participant Support
Serve as a friendly and responsive point of contact for students and program participants.
Support student onboarding and help participants understand program expectations, activities, and available resources.
Respond to questions and direct students to the appropriate team member or resource when needed.
Track student participation, engagement, completed activities, and required submissions.
Send reminders and follow up with participants who need additional support.
Help create an engaging and positive experience for students throughout the program.
Identify common student questions or challenges and recommend ways to improve the participant experience.
University and Faculty Coordination
Communicate with university faculty, staff, student organizations, and campus contacts.
Help coordinate campus activities, information sessions, virtual events, workshops, and promotional opportunities.
Confirm event details, attendance, speakers, materials, and follow-up actions.
Maintain organized and accurate records of university contacts and communications.
Support outreach to universities and campus partners using approved messaging and materials.
Help faculty and university contacts understand how students can participate in available programs.
Events and Sessions
Coordinate logistics for virtual and in-person program activities.
Facilitate virtual sessions when needed.
Schedule meetings and sessions across multiple countries and time zones.
Prepare registration forms, participant lists, agendas, presentation materials, and follow-up communications.
Support speakers, facilitators, students, and university contacts before and during events.
Attend virtual sessions and provide behind-the-scenes coordination and participant support.
Track attendance, collect feedback, and document next steps following each event.
Program Administration and Reporting
Maintain accurate participant, university, activity, and engagement records.
Update project management systems, databases, spreadsheets, calendars, and shared documents.
Review information for accuracy and follow up when data is incomplete.
Help prepare regular program updates, internal reports, and summaries of participation and engagement.
Organize program files and documentation so information is easy for the team to find.
Document processes and help improve systems as programs grow.
Handle participant and partner information responsibly and confidentially.
Team Collaboration:
Participate actively in team meetings and share clear updates on progress, priorities, and challenges.
Work collaboratively with colleagues across different countries, cultures, and time zones.
Communicate early when support, clarification, or a decision is needed.
Help team members during busy program periods and contribute wherever coordination support is required.
Bring forward ideas for improving program organization, communication, and participant engagement.
